Configure Gmail to Outlook Express Using Simple Trick!

Tired of Google snooping around your emails or using Gmail for so long and finally deciding to ditch Gmail for Outlook? Well, if you are considering doing the same then, this is a step-by-step guide to configure Gmail to Outlook Express in the right way.

Gmail is a free web-based email client that provides lots of storage space on Google service. But considering the hacking and data loss issues, many organizations/users prefer a safe option by configuring a Gmail account in Outlook Express. There are many ways in which such configuration helps the organization, such as user can design their own messages and replies. However, the configuration of the Gmail account to Outlook Express doesn’t resolve a data security issue, for this users need to download their Gmail emails and then use them in Outlook Express for offline reading.

“I am facing difficulty while setting up Gmail in Outlook Express. Even though I have followed all the instructions but end up with two obstacles: first, I need to set up the incoming mail server to IMAP but, am unable to make the changes in Settings. Currently, I am using a POP3 server so, does it mean that I cannot set it to IMAP and must leave it as POP, or is there any other way to do this? Another issue is I have found two different numbers for Outgoing mail i.e., 465 and 587. Which one is correct? Please, someone, assist me with technical guidance to fix this problematic situation.”

Solution
Users can simply configure Gmail to Outlook Express. For this, one needs to set up Gmail to allow downloading emails as POP or IMAP. The following are some techniques to configure Gmail emails to Outlook Express.

1. Exporting Gmail Database to Outlook Express

Over the years, your Gmail collects important information you do not want to lose. Hence, taking the backup of Gmail data always proves handy as we can retrieve the data from it at any data loss condition. The software will display the progress report of the backup. Once the backup procedure is completed, click on OK.

Part B: Importing EML to Outlook Express

  1. Go to Start >> Programs >> Outlook Express 
  2. Create a folder to store Gmail exported EML files.
  3. In Windows Explorer Navigate to the location of saved EML files.
  4. Select all resultant EML data files
  5. Eventually, Drag and Drop all the EML files in the Outlook Express pane

Now, you are done with setting up Gmail in Outlook Express to send/ receive and retrieve Gmail messages.

2. Directly Add Gmail Account to Outlook Express

Execute the steps according to the Gmail protocol you are using:

A. Configure Gmail to Outlook Express Using IMAP

  1. Open your Gmail account and click on Settings >> Settings >> Forwarding and POP/ IMAP.
  2. In the IMAP Access section, select The Enable IMAP option. Click Save Changes.
  3. Now, launch the Outlook Express application and select Tools >> Accounts. Click Add >> Mail.
  4. Type your name under the Display name. Click Next.
  5. Enter your complete Gmail email address (for instance: “example@gmail.com”) in the E-mail address section. Hit the Next button again.
  6. Make sure that IMAP is selected in the “My incoming mail server is a __ server field”.
  7. Enter “imap.gmail.com” in the Incoming mail (POP3 or IMAP) server section.
  8. Type “smtp.gmail.com” under the Outgoing mail (SMTP) server. Click Next.
  9. Enter your complete Gmail address under the Account name.
  10. Type your Gmail password in the Password section. Click Next >> Finish.
  11. Choose imap.gmail.com in the Internet Accounts wizard. Click on Properties >> Servers.
  12. Now, make sure the My Server requires authentication option is enabled under Outgoing Mail Server.
  13. Go to the Advanced menu and check the “This server requires a secure connection (SSL)” option for both.
  14. Outgoing mail (SMTP) as well as Incoming mail (IMAP).
  15. Enter “465” in the Outgoing server (SMTP). Click OK >> Close.
  16. Choose Yes to download the complete list of Gmail folders into Outlook Express. Hit the OK button.

B. Configure Gmail to Outlook Express Using POP

  • Open your Gmail account and click on Settings >> Settings.
  • Click Forwarding and POP/IMAP tab and navigate to the POP Download section.
  • Here, choose Enable POP for all mail / Enable POP for mail that arrives from now on.
  • Hit the Save Changes button.
  • Next, open Outlook Express and select Tools >> Accounts.
  • Click Add >> Mail.
  • Enter your name under the Display name.
  • Click Next and type your Gmail address in the E-mail address section.
  • Click Next.
  • Make sure that POP3 is selected in “My incoming mail server is a __ server”.
  • Enter “pop.gmail.com” in the Incoming mail (POP3, IMAP, or HTTP) server.
  • Type “smtp.gmail.com” under the Outgoing mail (SMTP) server.
  • Click Next.
  • Enter your complete Gmail address in the Account name section.
  • Type your Gmail password under Password.
  • Click Next >> Finish.
  • Now, highlight the recently created pop.gmail.com account.
  • Click on Properties.
  • Navigate to the Servers tab.
  • Verify that the “My server requires authentication” option is checked in the Outgoing Mail Server.
  • In the Advanced tab, make sure that the “This server requires a secure connection (SSL)” option is enabled under Outgoing mail (SMTP) as well as Incoming mail (POP3).
  • Enter “465” under the Outgoing server (SMTP).
  • If you have not changed the Incoming server (POP3) to “995” then, it will automatically, enter “995” there.
  • Click OK >> Close.

After configuring your Gmail account in Outlook Express you can access all your Gmail databases from the Outlook Express email client.
